Legal Assistant

Role and Responsibilities

 Reporting directly to principal

·       Responsible for overall day-to-day operations of the firm (i.e. answer phone calls, take accurate messages, scan/copy/fax documents, schedule appointments, banking, and maintain filing system)

·       Accountable for the collection and entering of accurate data (maintaining data in required databases and programs from initial file opening to closing)

·       Prepare sensitive documentation, correspondence and reports for the relevant practice areas

·       Ensure timely responses to inquiries and requests for additional information

·       Prepare accounts and reporting letters

·       Communicate directly with other solicitors and law clerks in a professional manner

·       Organize files, correspondence and related documents: ensure complete and accurate filing of all documents (hard copy and electronic copy)

Qualifications and Education Requirements

·       Successful completion of Law Clerk / Legal Assistant certificate / diploma or equivalent post-secondary program or    relevant experience

·       4+ years practical relevant experience and current knowledge of the legal process and procedures

·       Extremely high level of attention to detail and follow up

·       Demonstrated discretion and experience conducting confidential business matters

·       Proven organizational, interpersonal, communication and time management skills

·       Ability to multi-task and manage competing priorities in a dynamic working environment

·       Strong computer skills and English language ability;

·       Excellent written and proof reading skills,

·       Strong focused work ethic, capable to take initiative and assume accountability

·       Proficiency in Word, Excel, Adobe, RealtiWeb (LDD), Unity, Teraview, DivorceMate and PC Law

·       Strong ability to work independently, efficiently and effectively under pressure with simultaneous deadlines, and Exercises good judgement and understands when to seek direction

Additional Notes/Other requirements 

       This position requires a candidate with the ability to work well in a busy, multi-tasking practice; someone who is a self-starter with a keen attention to detail and the ability to hold matters in strict confidence.

·       Financial duties include: processing client payments, under supervision, taking responsibility for the partnership's office expenses and managing the partnership's (non-trust) bank accounts by acquiring new services, paying bills and corresponding with service providers;

·       Technical: drafting legal documents under supervision, filing documents in court, performing legal research, logging time sheets and producing draft invoices.

·       Office administration: a wide variety of tasks typical of a small office, including printing, faxing, docketing time daily, and maintaining accurate billing records, emailing, managing paper files, shredding, taking out garbage, going to stores to buy office supplies, etc.

·       Manages time effectively and is dependable;

·       Opening & Closing of client files, in accordance with firm policies and procedures and LSUC guidelines;

·       Draft documents as needed (including but not limited to: applications, separation agreements, parenting plans, pleadings, affidavits, memos, correspondence and conference briefs and disclosures);

·       Prepare financial statements & Net Family Property (NFP) Statements; Preparation of orders for endorsement;

·       Schedule and maintain assigned Associate Lawyers calendar;

·       Act as a liaison with clients, opposing counsel, and necessary third party experts;

·       Photocopying, Binding of documents, as required;

·       Managing the physical and electronic client files in accordance with firm policies and procedures;

Terms of employment: Full Time 35 hours per week 

Monday to Thursday 9 :00 To 5 :00 and Friday 8 :00 to 4 :00

Summer hours Monday to Friday 8 :00 to 4 :00

Office closed between 12 :00 and 1 :00
